LETTERS OF INVITATION

All requests for invitation letters will be managed according to the following procedure.
Please send an email to info@iiw2026.com, including the following details directly in the body of the email, in text format: 

• Full name of the applicant, exactly as shown on the passport;
• Passport number, after checking the passport expiry date in advance;
• Date of birth;
• Professional title, such as Student, Professor, CEO, etc.;
• Name of the professional or academic institution related to the title, such as University of …;
• Title of the accepted abstract, if applicable;
• Any additional details that may be useful or necessary for obtaining the visa, clearly listed in text format.

By following this procedure, applicants will receive the official invitation letter by email within a few hours or days.

REGISTRATION

Registration can be made online, through the Conference website, using the main credit cards or PayPal. Once registered, the participant will receive an e-badge by e-mail. The e-badge is a confirmation letter with a summary of the data and a QR code, to be printed or saved on a smartphone. Once arrived at the conference, the participant will be able to print his own badge using the self-service kiosks that allow the reading of the QR code printed on the e-badge. REGISTRATION FEES

All registration fees are quoted in Euro (€) and include VAT. Payments in any other currency will not be accepted.
The registration process is considered complete only upon receipt of payment. Therefore, any registration completed after April 30 will be subject to the applicable fees set out in the registration fee schedule.
(*) YP and Students Fees are eligible only to participants under 36. In order to benefit from the special fee for under 36, a copy of your ID or Passport must be sent via e-mail to registrations@iiw2026.com upon registration.
(**) The daily admission fee for local experts is reserved for individuals residing in the country hosting the IIW Annual Assembly and International Conference on welding and joining. For this edition, the admissions are available for participation from July 13th to 16th (one day only to be selected on purchase) and for those who can prove that they reside in Austria. It does not include access to social events.

Group registration will be accepted for a minimum of 10 participants.

CANCELLATION POLICY 

Any notifications of cancellations should be sent by e-mail to the Organizer and will entitle to the following refund:

• Until April 30, 2026: full refund (all refunds will be processed after the conference, bank charges will be deducted)
• From May 1, 2026: no refund

NAME CHANGES 

The payment of € 50 as a handling fee per name change will be required. Before proceeding with the name change, the registered participant must submit written authorization for the change, including a copy of an identity document. For group registrations, the Sponsor or travel agency must submit a new application form for each substitution request.

AMENDMENT OF BILLING DETAILS 

Any change to the invoice details (company name, address or VAT number) requested after the invoice has been issued, requiring the re-issuance of a new document, will incur an administrative fee of € 50.

REPRINT OF THE BADGE

The reprint of the badge at the Conference venue will incur a cost of € 15, whether in case of loss or forgetfulness.

CERTIFICATE OF ATTENDANCE

Certificates of attendance will be granted according to delegate attendance. In case of a no-show no certification of attendance will be produced.
Certificates of attendance will be available for download on https://aristea.online after the conference.

OTHER INFORMATION

The registration fee will be invoiced within one week. Payments in other currencies other than EUR will not be accepted.
